We had a meeting of some of the Management Team members as planned Oct 13th.  As per our email to you on Oct. 8th, we discussed the lease proposal.  We have forwarded our thoughts and comments to the HOA attorney to put them into a simple lease document.  We do not have the draft as yet. Will send as soon as we get it. Geoff Granum is available to meet with Brent in Provo to review the lease.  This may make it easier to get everything complete.

 

As per our meeting and our emails, it is important for our Management Team to receive the documents we have requested, i.e.: the plat and recording documents for the clubhouse and phase 4.

 

During our management team meeting we reviewed the emails you sent recently. 

 

For the email dated Oct 6th; we have the following input:

1.  We are working on the warrantee information as well as the survey information.

1-We have been asking for these documents for over a year

 

2.  The fire alarm system is still an issue that Brent and I will address with the HOA.

2-Legacy has an outstanding balance with the homeowners for their expense on this unneeded system. As of the August 30,2003 Bullet Points Memo to Legacy, there was $2558.47(as of July bills paid) owed to the homeowners.

 

3.  The separate electrical meter for the head end system is complete and has been for several weeks now.

3-This is good; we would like to review with you future during our next meeting.

 

4.  Access to clubhouse and Pool is being dealt with through the recordation as you aware.

4-Many homeowners have signed the document Legacy asked them to sign so they could have access. This document went to homeowners in June for a grand opening on august 8th, why is this now attached to the recording of the building?

 

5.  Completion of Landscape I'm sure you are aware is done.  Again this is an example of an issue that can be dealt with in the monthly meeting.

5-We have received several concerned calls from homeowners in phase 1, 2, 3 and 4 on the landscaping, especially those owners in the phase 4 8-plex. The HOA recognizes progress in the landscaping effort, especially since Pat Brennan became the project leader.


The HOA recognizes that portions of the projects landscaping remain incomplete as listed:

a) Phase 1:

1.    Backyard of Units 1 and 2 between back of clubhouse and tennis courts

2.      Area at front of tennis courts by the road and pool area

3.      Side yards of Units 7/8

b) Phase 2,3 Warranty work for landscaping and sprinkling systems

c) Initial landscaping phase 4 committed to the owners for spring 2003 has not been done.

 

*I was reviewing the invoice from Robinson Waste for our construction dumpster and noticed they are billing the dumpster for the homeowners to us.  I am putting a call into them to change that.  Just want to give you a heads up that we will be invoicing your for previous months of service that were charged to us.

*Robinson Waste Company.  The homeowners here at Lakeside have a contract with Waste Management Company.  The Robinson dumpsters were brought in for construction. You can have Robinson remove the dumpster.  We are not responsible for it.  If we want to contract with Robinson, we will setup a contract with them.

 

Your Email of September 22:

As per the Bullet Point Memo dated August 30, 2003.  The HOA does not have an outstanding balance with Legacy.

 

As part of our management team meeting on Oct 13th, we reviewed your request to waive the late fees on units 16,22 and 33.  The bookkeepers report showed that Legacy has not paid dues for October and has additional late fees.  Legacy has yet to get payments in on time.  The late fee will not be waived at this time.

 

We can review these issues with you further.  What is our monthly day to meet going to be?
